About the Role

We are seeking a highly skilled and detail-oriented Administrative Coordinator to join our dynamic team in Bratislava, Slovakia. As an Administrative Coordinator, you will play a critical role in ensuring the smooth operation of our business by providing exceptional administrative support to our sales and project management teams.

Key Responsibilities
  • Manage and process orders, ensuring timely and accurate completion.
  • Review and manage contracts data in our ERP system, ensuring compliance with company policies.
  • Process data for new orders and order modifications, maintaining accurate records.
  • Create billing invoices and credit notes, ensuring accuracy and timeliness.
  • Prepare and send indexation renewal letters to customers, maintaining effective communication.
  • Request guarantees for placed orders, ensuring timely and accurate completion.
  • Complete commercial correspondence and support project managers with order-related matters.
  • Communicate verbally and in writing in French and English, providing exceptional customer service.
  • Be the first point of contact for contractual questions from customers, providing accurate and timely responses.
  • Check contracts and approvals in our CRM tool, ensuring accuracy and compliance.
  • Support and manage dispute resolution, maintaining effective communication with customers.
  • Maintain the master data of our customers, ensuring accuracy and up-to-date information.
  • Communicate proactively with clients, providing exceptional customer service.
  • Run calculations for customer offers, ensuring accuracy and timeliness.
Requirements
  • Fluency in French and English, with excellent verbal and written communication skills.
  • Ability to effectively communicate with internal and external customers, providing exceptional customer service.
  • Excellent proficiency with MS Office suite, with a focus on Excel.
  • Effective time management, meeting deadlines and prioritizing tasks.
  • A positive attitude and ability to provide an excellent customer service experience.
  • Ability to work independently and carry out assignments to completion, with minimal supervision.
  • A team player who enjoys working in a team environment, with a focus on collaboration and communication.
  • Minimum experience working in an administrative role, preferably within finance or legal.
Preferred Qualifications
  • Previous experience in finance, customer service, order to cash, quote to cash, accounts receivable, billings, disputes, collections, contract administration, or legal-related work.
  • High proficiency with MS Excel, with experience in data analysis and reporting.
