Purpose of the Job 

This is an exciting opportunity for a Project Coordinator to join HH Global as we continue on a journey of growth with our clients. 

The successful Project Coordinator will possess experience in managing in-store fit-outs across the EMEA region. Prior experience in fit-outs, layout planning, and a technical understanding of intricate fixtures, fittings, and equipment is an advantage. You should be adept at handling projects for multiple store openings with varying lead times. Your responsibilities will encompass receiving project briefings, managing day-to-day communications, providing quotations, and overseeing the complex execution. Your role will involve a blend of project work, collaboration with clients, internal teams, and occasional on-site presence during installations. 

Your core responsibility will be ensuring the successful delivery of sometimes intricate and multifaceted projects within the dynamic retail environment. You will cultivate strong relationships with your team and partners, fostering effective collaboration to consistently exceed our client's high expectations.

Key Responsibilities

• As a Project Coordinator you will be responsible for working closely with an Account Manager, our clients, suppliers and internal contacts delivering services professionally, to specifications and on time in line with SLAs. 
• Project coordination – ensuring all projects are fully and correctly processed through ERP system in real time, driving project progress forward by seeking required inputs, closing projects out quickly upon completion, clearly mapping best-practice processes and actively participating in ongoing improvements.
• Customer service – providing excellent customer service and prompt response to all internal and external clients, building client relationships by understanding their priorities and tailoring provided support, and being an expert in the handled concepts.
• Project reporting - regularly reporting on project status, inventory and project specific issues to clients quickly, with proposed solutions, providing feedback on delegated tasks, providing live visibility of the status of all projects and forecast stock demand, highlighting shortages to client and Production Manager and ensuring ERP system generates the most efficient reports.
• Communication - informing client & internal teams about project details, planning, timing and financial status.
• Troubleshooting and handling of claims - identifying and solving issues with effective solutions and flawlessly exceeding client expectations.

Knowledge, Skills + Experience

• Experience in client services and project management, within retail agency, marketing agency or similar.
• Experience in retail fit-outs, retail fixture production, or similar with understanding of the materials and production process.
• Strong project management skills: outstanding organizational and planning skills (ability to juggle multiple projects), coordination of team members, great attention to detail and follow-through, ability to multi-task and consistently meet deadlines.
• A fast learner and someone who is keen to learn more about our industry including materials, production processes, retail environments, etc.
• Advanced level of Microsoft Suite knowledge including Word, Excel, PowerPoint is a must.
• ERP experience is an advantage.
• Fluent English and Czech is a must.
