Summary

We are looking for a reliable and proactive Executive Assistant / Operations & Project Support, who will help us manage the day-to-day operations of the company and ensure smooth coordination across projects, suppliers, and internal processes.

You will be directly supporting management in the organization and operation of the firm — from vendor management, contract tracking, and documentation to HR and project administration.
The role combines administrative precision with curiosity and a desire to understand how a technology-driven company works inside out.

You will be working closely with a 12-person core team and will have a visible impact on how our company runs and scales.

Key Responsibilities

  • Maintain and organize administrative documentation (contracts, invoices, purchase orders, NDAs, signatures)
  • Support project and operational administration (task tracking, reporting, documentation)
  • Communicate with external suppliers and partners on behalf of the company
  • Manage onboarding/offboarding logistics and HR documentation
  • Track and ensure timely execution of signatures, and other project steps
  • Keep operational systems organized in Notion, SharePoint, O265
  • Prepare internal summaries, overviews, and meeting follow-ups
  • Coordinate cross-functional communication and ensure information flows smoothly
  • Assist with compliance and company-wide initiatives (e.g., ISO 27001)

MUST

  • Minimum 2+ years of experience in a similar administrative, operations, or project support role
  • Strong English (min. B2 level) – daily communication in writing and speaking
  • Experience with company operations or project administration
  • Solid working knowledge of Office 365, and online collaboration tools
  • Attention to detail, structured working habits, and ability to follow through independently
  • Excellent written and verbal communication skills
  • Reliability and professional maturity in handling confidential information

NICE TO HAVE

  • Experience from a technology or consulting company
  • Familiarity with Notion, Jira, Slack, or DocuSign
  • University degree (Economics, Business, Administration, or Technical field)
  • Understanding of internal company processes (procurement, HR, invoicing, compliance)
