As the first point of contact at our reception, you will be a full member of the office community, working alongside engineers, designers, marketers, and colleagues from other teams. As the Office Assistant, you will support your colleagues and manage daily office operations, ensuring the workplace runs smoothly and efficiently. This role includes administrative tasks, reception responsibilities, and coordination with various departments to support staff and visitors.
As part of our team, you will:- Ensure the smooth daily operation of the reception and provide a welcoming experience to all visitors.
- Handle incoming calls and emails from clients and suppliers professionally.
- Support day-to-day administrative tasks, including visitor logbook management, meeting room coordination, and language course scheduling.
- Coordinate regular well-being activities such as massages and yoga sessions.
- Manage incoming and outgoing shipments via Czech Post, FedEx, PPL, UPS, DHL, etc.
- Oversee event space bookings and support event logistics.
- Assist with organizing internal events such as onboarding, breakfast sessions, HR events, and team-building activities.
- Collaborate on external events like meetups, conferences, etc.
- Communicate with vendors.
- Work closely with the Office Management team and support general office operations, e.g. reporting facility issues and monitoring the quality of cleaning services around the reception area.
- Monitor and order office and hygiene supplies.
- Keep track of snack and refreshment stock and ensure timely replenishment.
- Are proficient in English at a B2–C1 level, both written and spoken.
- Can speak Czech or Slovak proficiently at a B2–C1 level, both written and spoken.
- Are confident in your MS Office skills.
- Possess strong communication skills and a professional, pleasant demeanor.
- Have a proactive personality with excellent problem-solving skills, accuracy, and attention to detail.
- Are flexible and have the ability to manage time and workload independently while effectively collaborating with colleagues from other JetBrains locations.
- Are willing to help with internal events in the afternoon or evening.
- Have previous experience in a similar administrative or office support role.
- Have experience in events or hospitality.
- Are enthusiastic, reliable, and willing to learn – we welcome recent graduates.
